What personal data we collect and why we collect it

Contact forms

When visitors ask support questions on the Contact page, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

Sending us email

If you send email to us, we will keep your email address and the email contents, so we can respond to you and keep the conversation for future reference.

Order forms

When visitors purchase our software, we collect their address, email address, name, and payment information. If you order through our order form, we do not ever see your credit card number (except for the last 4 digits). The credit card is processed by Stripe, a 3rd party Credit Card Processor. Customer contact information is retained for later communication.

Our AI Chat Bot

Our website includes an AI-powered support chatbot to help answer questions about our products.
What we collect:
– Chat messages you type into the chatbot
– Your responses to the chatbot (the full conversation)
– Your email address, if you choose to send a conversation to our support team
– The page URL where you opened the chatbot
– Basic device information (whether you are on mobile or desktop)
How we use it:
– Your questions are sent to OpenAI (our AI provider) to generate answers. OpenAI processes your question along with relevant excerpts from our documentation to provide a response. OpenAI’s data usage policy applies to this processing (see https://openai.com/policies/row-terms-of-use/).
– Chat conversations are logged and may be reviewed by our team to improve the accuracy and quality of our support chatbot.
– If you use the “Send to Support” feature, your conversation and email address are sent to our support team at support@kidasa.com.
What we do NOT collect:
– The chatbot does not require you to log in or create an account
– We do not collect your name, payment information, or any personal data through the chatbot unless you voluntarily provide it in your messages
– We do not use chatbot conversations for advertising or share them with third parties other than OpenAI for processing
Data retention:
– Chat conversation logs are retained for up to 12 months for quality improvement purposes
– You may request deletion of your chatbot conversations by contacting us at support@kidasa.com
Cookies:
The chatbot uses a session identifier stored in your browser’s memory to maintain your conversation. This is not a persistent cookie and is cleared when you close the chat or leave the page.

Who we share your data with

We use Constant Contact and MailMunch to store your email address if you sign up with our newsletter. We use Stripe to process payments.

How long we retain your data

If you submit using our contact form, the information you submit and its metadata are retained indefinitely. This is so we can recognize and respond to any follow-up questions automatically. If you purchase our software, the information you submit will be retained indefinitely (except for your payment information, we do not see or retain any credit card or other payment information).

What rights you have over your data

You can request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data
